Welcome to HeyGen! In this guide, we’ll explore how to customize your Workspaces settings, so you and your team can collaborate effectively and manage access with ease.

Whether you’re inviting new team members or setting access permissions, HeyGen Workspaces offers flexible options to suit your team’s needs. These features are available to Team and Enterprise plan users.

Inviting team members

Inviting team members to join your Workspaces is a breeze. From your home screen, click on your name in the top left corner and select ‘Invite team members.’

You can either type their email address directly or toggle "Invite by link" and share a unique link with them. Choose the role for each team member—Viewer, Creator, Developer, or Super Admin—so everyone has the right level of access.

Let’s break down the roles that can be assigned:

Viewer: Can view content but not make changes.

Creator: Has permission to create avatars, videos, and voices.

Developer: Creates content and has API access, ideal for advanced integrations.

Super Admin: Has full permissions, including adding new users, managing access, and handling purchases.

Enabling Team Workspaces Discovery

To enhance collaboration, you can enable Team Workspaces Discovery.

This allows users within your company domain to discover and request access to your Workspaces. Super Admins can review and approve these requests, ensuring that only authorized team members gain access.

Setting access controls

Managing access to specific folders or projects within your Workspaces is simple. Click on the three dots next to any folder, and choose from three access levels:

Private: Only the admin and the content owner can access this folder.

Specific Collaborators: Select individual team members and decide if they should have viewing or editing rights.

All Collaborators: Grant access to everyone in the Workspaces, with either viewing or editing permissions.

Note: users can share entire folders, but not individual videos. To share a specific video with a collaborator, it must first be placed inside a shared folder.
