Managing multiple teams or projects within HeyGen can get complicated, especially when different teams need different levels of access. That’s where Sub-spaces come in! Each Sub-space has its own members, permissions, and settings.Sub-spaces help agencies and enterprises control access, billing, and API usage across different teams or clients. Sub-spaces can be configured to share or separate resources such as billing, avatars, API keys and templates.<img alt="some-file-e83290d2-a1e9-42df-a25d-8cdc296a4dd7" src="https://d2xo500swnpgl1.cloudfront.net/uploads/heygen/some-file-e83290d2-a1e9-42df-a25d-8cdc296a4dd7-1737676727787.gif"> <h3>Navigating to Sub-spaces</h3>From your dashboard, click on your name, and go to ‘Space Settings’, from there you can navigate to ‘Members.’ You’ll see the ‘Sub-spaces’ option in this menu.<img src="https://d2xo500swnpgl1.cloudfront.net/uploads/heygen/some-file-7c318476-6c31-48ac-9416-5842ee6aecd4-1737676764957.gif"> <h3>Creating a Sub-space</h3>To create a new Sub-space, click on “create Sub-space”<img alt="some-file-d330babe-78b5-47a1-a96a-f81f4443f0b3" src="https://d2xo500swnpgl1.cloudfront.net/uploads/heygen/some-file-d330babe-78b5-47a1-a96a-f81f4443f0b3-1737676808568.gif"> Begin by entering a name for your Sub-space and an image of your choice. <img alt="some-file-e880d23c-e403-4130-bca3-309678fb5c2d" src="https://d2xo500swnpgl1.cloudfront.net/uploads/heygen/some-file-e880d23c-e403-4130-bca3-309678fb5c2d-1737676832867.gif"> Next up, add an email to invite new members. Once you do that, you can select their role in the space:<ol><li data-list="bullet">Super admin: has full permissions, including adding new users, managing access, and handling purchases</li><li data-list="bullet">Developer: creates content and has API access, ideal for advanced integrations</li><li data-list="bullet">Creator: has permission to create avatars, videos, and voices</li><li data-list="bullet">Viewer: can view content but not make changes</li></ol><img alt="some-file-b9311a64-0a50-4b5f-9c49-1e208b80ef80" src="https://d2xo500swnpgl1.cloudfront.net/uploads/heygen/some-file-b9311a64-0a50-4b5f-9c49-1e208b80ef80-1737676917981.gif"> In ‘Settings and Permissions,’ you can configure key settings:<ol><li data-list="bullet">Manage subscription: if toggled on, the Sub-space will manage its own subscription and will not inherit or use up any quota or Video Avatar Slots of the Parent space. Note that toggling this on will also enable the Sub-space owner to create additional Sub-spaces.</li><li data-list="bullet">View API settings: if toggled on, the sub-space will be able to access API settings and use separate API keys. Each Sub-space has its own API key. The ‘Usage History’ tab on the ‘API Settings’ page for each Sub-space will only show usage for the API key for that Sub-space. This will allow the Parent space to easily track API usage per sub-space</li></ol>Once you are done, click on ‘Create new sub-space’ to finalize the sub-space.<img alt="some-file-2cac9b80-b2d7-46bf-b038-dfb786e34e8e" src="https://d2xo500swnpgl1.cloudfront.net/uploads/heygen/some-file-2cac9b80-b2d7-46bf-b038-dfb786e34e8e-1737676885054.gif"> <h3>Managing members and permissions</h3>Once a Sub-space is created, all seats available in the parent space will be allocated accordingly.If you invite members, seats will be taken up based on the available quota, once the limit is reached, no additional members can be added without removing an existing one.<img alt="some-file-6cb2d205-dca9-4881-8ddd-aa7dc1b16024" src="https://d2xo500swnpgl1.cloudfront.net/uploads/heygen/some-file-6cb2d205-dca9-4881-8ddd-aa7dc1b16024-1737676995166.gif"> When logged into a typical Sub-space, subscription settings are not visible.<img alt="some-file-31349cec-8c1c-49e1-9221-449f41694f52" src="https://d2xo500swnpgl1.cloudfront.net/uploads/heygen/some-file-31349cec-8c1c-49e1-9221-449f41694f52-1737677010450.gif"> <h3>Moving avatars to Sub-spaces</h3>Parent spaces have the ability to move avatars from their space to their connected Sub-spaces. To do this, navigate to the 'Avatars' tab in the left navigation.Next, click the three dots in the top right corner of the avatar you'd like to move, select 'Share to other spaces,' and choose the desired Sub-space to move this to. <img alt="some-file-8c313685-999f-48a8-9f87-c97e47fb6892" src="https://d2xo500swnpgl1.cloudfront.net/uploads/heygen/some-file-8c313685-999f-48a8-9f87-c97e47fb6892-1738011717901.gif"> <h3>Sharing Brand Kits and Templates Across Sub-spaces</h3>Enterprise spaces can now share brand kits and templates with their connected Sub-spaces. To do this, navigate to the left-hand menu and select either 'Brand Kits' or 'Templates.'Next, click the three dots in the top right corner of the brand kit or template you'd like to share, select 'Share to Sub-space,' and choose the desired Sub-space.<img alt="some-file-abcea6ba-3883-461c-bef4-4097d35edb7c" src="https://d2xo500swnpgl1.cloudfront.net/uploads/heygen/some-file-abcea6ba-3883-461c-bef4-4097d35edb7c-1740524130708.gif"> Once shared, the recipient Sub-space will have view-only access to the asset. They can create a copy to edit, but any changes made by the original sharer will not be reflected in their copy. Additionally, private avatars and voices will be replaced with public options from the platform when using shared templates. <h3>Recap</h3>And that’s it!
